None of this is personal. But "in progress" isn't a date. Here's how to read the language and keep your claim moving.

"We're still reviewing the estimate."

What it means
It's under review. Whether that means eyes on the file or another day in the queue is the part you need to find out.
What to do
Log the date you submitted. Set a 48-hour follow-up. Make the call. Document the answer.

"The system shows it's in progress."

What it means
You've got a status. You still don't have a date.
What to do
Ask for a specific review date. Log the answer. Follow up the day after it.

"We can approve up to the original estimate amount."

What it means
The original scope is being treated as the ceiling. It isn't one.
What to do
Resubmit with the line items and the code references that justify the difference. Document, don't argue.

"I'll have to check with my supervisor."

What it means
This claim can die here if nobody follows it.
What to do
Log it. Set 48 hours. Get the supervisor's name.

"We didn't receive that."

What it means
It may be true. It is unverifiable either way without a record.
What to do
Resend with the original timestamp attached. This is the entire reason to log submissions.

"That's not covered under the policy."

What it means
Sometimes accurate. Sometimes a first answer.
What to do
Ask which provision. Write the answer down. A specific citation is workable, a vague one usually isn't.

"We'll need to send someone out for a re-inspect."

What it means
Another calendar just entered the chat. Get a date before this becomes another round of phone tag.
What to do
Push for a date before you hang up. Log it. Have your documentation ready before they arrive.

"It's been paid."

What it means
Issued isn't the same as in your bank account.
What to do
Confirm the amount, the recipient, and anything still outstanding. Approved is not paid.
